Finance and Terms of Delivery

The VRE is a specific service with purchase based on concurrent use. Contract form: DVO Specific service Contract duration: 1 year with tacit renewal. Notice period: 1 month before expiry date.

The Basic and Premium configurations are financed from the "Basispakket Eenheden”. Except for customization, the VRE will not be charged directly to the faculty/end user. Customization is only possible based on the Premium configuration. Unless otherwise indicated, with every new request the Premium configuration will be made available to the costumer.

Monthly billing (afterwards) based on average consumption. The use of storage does not depend on the use of VRE. Any extra GBs compared to standard are billed every year.

In addition to the costs for the Virtual Research Environment, which is based on prices negotiated by the University of Groningen, other prices* might apply for other universities and medical centers (possibly combined with commercial parties). Agreements are made with all parties and recorded within an addendum on the generic Service Agreement or DVO for the VRE. A KPI is a standard part of this agreement.

Depending on the desired functionality current processing times for VRE request:

• Once the VRE application form has been approved, the Basic and Premium VRE will be delivered within a maximum of 3 working days (priority medium).
• However, in consultation with the customer a term is usually agreed upon when the VRE must be available;
• An urgent request for the Basic and Premium VRE can be delivered within 4 hours;
• Additions in consultation with the researcher;
• Customization: Extra requested software that is requested have a lead time of 4 weeks. Not all software can be installed on the VRE, this is always a part of the intake interview;
• Customization: Extra (large amount of) storage: within 3 working days.

Upon activation of a VRE, it is actively checked whether the account is still being used. An account will be disabled if it has not been used for at least three months, nothing is deleted. After another three months, the account (and therefore the home directory) will be deleted. If the account is the last account of the study, the group drives are also deleted. After the data is deleted, the backup is retained for another 30 days. Because we use a federated account, deleting or disabling this federated account directly affects the use of the VRE. No longer have access to the federated account means immediately no more access to the VRE.

This service has a minimum duration of one month per user per study/research.

You can cancel your subscription by sending an e-mail to dcc@rug.nl, stating the user group, name (s) and date of termination.

The following services can be used in conjunction or separate from the VRE but are by default excluded from this agreement. Different terms of usage may be in effect.

• Secure Data Landing Zone for file transfer (SFTP/CopyServer) On-premise SAAS;
• Secure User Databases (HA SQL);
• Clinical Trial Processor (CTP), a service for de-identifying and submitting of medical imaging data based on DICOM standards, the international standard for medical images and related information;
• DCC support throughout the entire research (data) life cycle, from grant proposal to FAIR data
