The proper management of research data is getting more important. On the one hand, there is the ambition of the UG and research funders to adhere to the different facets of the Open science framework and the FAIR data principles. On the other hand, there are also concerns about the rules and regulations that the GDPR brings, and there are now more ways to reuse data sets if that dataset can be found and may be reused.
| |
The current storage solutions (X/Y drive, Unishare, Google Drive, NAS) do not sufficiently meet the current data management systems standards. | You can access the RDMS by simply following the above link and using your UG email address and password for login. Your account will be automatically activated after your first login. If you experience any problem, please contact rdms-support@rug.nl. |

With the RDMS we aim to fulfil the requirements that modern data management brings. | ====== About the RDMS ====== |
| The Research Data Management System (RDMS) is the **long-term data storage solution** of the University of Groningen (UG). The system is built on top of the open source data management software iRODS, and it helps researchers comply with the 10-year data storage requirement outlined in the UG and NWO data management policies. The RDMS is designed to help researchers adhere to the Open Science framework and the FAIR data principles, while also considering the regulations imposed by the GDPR. |
| For that, the RDMS offers two zones: one for non-sensitive research data (Default Data Zone) and one for sensitive research data (Sensitive Data Zone). |
| |
**Current RDMS functionality (April 2024):** | **Current RDMS functionality (January 2025):** |
* A centralized storage system for research data, hosted on UG premises. | * A centralized long-term data storage system for research data (both sensitive and non-sensitive data). |
* A safe solution for managing and archiving files. | * Data sharing within the UG. |
* The option to add metadata to files and collections and folders for increased searchability and findability. | * Implementation of automated policies by users. |
* Ability to implement automated data policies. | * The option to add customized metadata and extract metadata from file headers. |
* Sharing data with scientists within the UG. | * Data storing in personal and team environments. |
* Collecting, sharing and re-using data in teams and projects. | * Different user roles and permissions. |
* Secure storage of the data on various levels depending on the vulnerability of the data. | * Advance data query (search) options. Function to save and export the query results. |
* Different ways to transfer data to and from the RDMS for Windows and Mac for a flexible selection depending on the user demands.
* A connection to the HPC clusters Hábrók and Snellius as well as the Linux Workspace (LWP) for easy data transfer via command line. | * A connection to the HPC clusters Hábrók and Snellius as well as the Linux Workspace (LWP) for easy data transfer via command line. |

**Important new features that are in progress:** | **Upcoming functionalities:** |
* Possibility to collaborate with external users. | * Audit & activity log: Users can trace back the history of actions performed on given data and identify who performed them. |
* Possibility to publish data that is archived in the RDMS. | * Publishing metadata in public repositories to facilitate the Open Science Framework. |
* Improvements for the project archiving workflow.

| ===== User Training ===== |
| |
| For information about upcoming RDMS training events (workshops, presentations, etc.), please refer to the User Training section of this wiki. There, you also find the available training materials from past events, which can be used. |

===== Support ===== | ===== Support ===== |
Primary support of the RDMS is given by the RDMS support team, who will help you with any questions about using the system. Please mail us at: rdms-support@rug.nl for help, but also for feedback and new feature requests. | Primary support of the RDMS is given by the RDMS support team, who will help you with any questions about using the system. | ===== Using the Wiki ===== |
| |
| Are you new to the RDMS? Check out the section for first time users, which gives a good starting point for using the system. If, instead, you already know specifically what you are looking for, you can use the sidebar on the left side for navigation of the different topics. |
| |
| Alternatively, you can use the built-in search of our Wiki. You can find the search bar on the top right of each wiki page as shown in the screenshot below. |

| |
==== User Training ==== | If you want to use the search bar, please keep in mind that the RDMS wiki is shared with other CIT services. This means that the search will by default scan for your input in all the different CIT wikis that are available. If you wish to **limit your search to the RDMS**, simply include @rdms in your search terms. |
| |
For information about upcoming RDMS training events (workshops, presentations, etc.), please refer to the User Training section of this wiki. There, you also find the available training materials from past events which can be used. | Moreover, you can toggle additional search tools and functions once the results of your query are displayed. See the screenshot below to find out how you can further adjust your search. |

This document is mainly targeted towards the end-users. Actions such as connecting to and interacting with the RDMS, uploading and downloading data, working with metadata, adding or removing collaborators, are the main topics explained in this user manual. | Moreover, longer wiki pages that contain multiple and/or partly nested subsections have an additional table of contents (TOC) that can be used to swiftly navigate the page. To open the TOC, click on the respective button next to the search bar in the top-right of the wiki. If you do not see a TOC, it means that the page you are in does not contain many subsections. |
